How to import teachers and teaching loads with AI
School data already stored in a spreadsheet or document can be transferred through AI import. A fixed template is optional: the model reads text and proposes teachers, subjects, classes and their teaching loads. You review the proposal, make corrections and continue through the usual timetable workflow.
Open automatic modePrepare a timetable and the source
Select and save a school and timetable setup. Create the school-day grid you will assign to new classes. In the source, identify each teacher, subject, class and number of lessons per week. State duration separately if one lesson uses two grid slots. Clear headings and consistent names help the model connect records correctly.
Add files or paste text
Choose Import with AI. In automatic mode it is also beside Excel; manual mode provides it in the toolbar and directories. Select XLSX, CSV, TSV, DOCX or TXT, or paste text into the large field. Add up to eight files of 8 MB each, with a combined text limit of 12,000 characters. Convert older XLS/DOC documents or copy their text. The browser reads files locally and sends the extracted text to the model. The trash button removes a file from the list while keeping its text in the field; edit or delete that text separately.
Wait for processing and review
Choose Extract data. Large tables can take several minutes; the dialog shows the queue or elapsed processing time. Keep it open. Closing or canceling stops processing. The source text and any completed review edits stay in this browser: reopen the import for the same school and timetable to continue. Once the review appears, check teacher names, subjects, classes, every teaching load and warnings. Edit names, add subjects as tags, correct associations and remove unwanted loads before applying.
Apply and continue planning
Select the grid for new classes and apply the reviewed data. Automatic mode fills the normal forms; save teachers and classes with Next. Manual mode applies an ordinary editable change with Undo and Redo. Save explicitly or through normal editing-context navigation. Existing rules, teacher availability and unrelated loads are preserved. Importing input does not place lessons on the timetable, so continue with manual placement or automatic generation.
Common questions
How does this differ from the Excel template?
The Excel template has defined worksheets and fields that the application reads directly. AI import accepts tables and prose with varying structure, and its output needs review. Use the regular Excel button for an already completed application template.
What if information is missing or the source is too long?
Add missing teacher names, classes, subjects and weekly lesson counts, then read the warnings. Split long sources into smaller imports. The model can misread or omit ambiguous associations, so compare its totals with the original before applying. PDF, photos and scanned documents are currently unsupported.
